CONDITIONS OF ENTRY
By entering the 2025 Hillvale Photo Trophy you agree to the following terms and conditions:
Submissions will open on Monday 18th August, and close at 11.59pm(AEST), Sunday 14th September, 2025.
Entry form and image upload must be submitted by the close date. There will be no extension for submissions.
The Hillvale Photo Trophy is open-entry to anyone within Australia or based-internationally.
Each entrant may submit a maximum of 3 photos.
Entry fee is $35 per photograph.
To receive your photo at the end of the exhibition, postage cost of $10 must be selected and paid for during the entry process
All photos not selected for postage will be recycled / destroyed
There is no option to pickup photos from the gallery, either if purchased through the online shop or if it is your exhibited photo
All entries must be submitted digitally as a print ready file. Minimum specs for file is 2900px on the short edge @300DPI, JPEG, maximum file size 20MB.
All artworks will be printed and exhibited on ILFORD GALERIE Smooth Pearl paper
Photos will be printed closest to the following formats - 8x8in, 8x10in and 8x12 inch with or without a 1cm white border on each edge depending if it is for exhibiting or purchased
Entrants retain the copyright to their artworks. By entering the Hillvale Photo Trophy, entrants grant Hillvale the non-exclusive use for promotional purposes, where the artworks may be used and published on the Hillvale Photo and Hillvale Gallery Facebook and Instagram pages, and other non-commercial means of promoting the work, exhibition, and Hillvale as the gallery deems fit. All artworks if used for this purpose will be fully credited to the artist.
By entering this prize you are confirming that you are the creator and owner of the entered photograph/s and that exhibition and promotion of your work does not infringe copyright or moral rights and have obtained all appropriate permissions.
All artworks submitted and displayed in the exhibition will be for sale unless otherwise opted out during the time of entry and marked on the entry form. If an artwork is not for sale, it will be indicated in the exhibition that it is ’NFS’, indicating Not For Sale.
All artworks will be for sale for $50 each, in an open edition (can be sold multiple times) at the same print specs as shown in the exhibition.
The Hillvale Photo Trophy print shop will remain active until Sunday 14 December 11:59pm (AEST)
A commission of 50% will be taken on all photographs sold. ($25 to you, and $25 to cover print costs with the remaining going to the gallery fund)
In the case that the artists photograph is sold, Hillvale will be in contact after the conclusion of the exhibition with details to receive funds.
All entries will be acknowledged via email.
Changes to entrant name, entrant website/instagram, details, postage, sales, will not be accepted after entry forms have been submitted.
Entry fees are non-refundable.
The decisions made by the judges and Hillvale regarding the allocation of prizes are final and no correspondence will be entered into.
Hillvale will contact winners to organise collection of prizes if not present at time of announcement on opening night event.
The winners announcement will take place on Friday 10th October, 2025 at 7:30pm during the opening night event for the Hillvale Photo Trophy.
The 2025 Hillvale Photo Trophy will run from the evening of Friday 10th October to Sunday 16th November
Hillvale Gallery retains the sole right to determine exhibition installation and placement of artworks.
Hillvale reserves the right to exclude works from exhibition at any time. Reasons for exclusion include, but are not limited to: offensive content, copyright infringement, digital art, graphic design, watermarks, AI content.
